Reservations Officer

Full-time all year round or seasonal (April - end of October)

Gross salary: € 1150 - 1550

The final salary level will be determined on the basis of merit after the interview. Benefits may include, depending on the position, free daily meals at one of the restaurants in the facility or free accommodation close to the respective property. The terms of the sectoral collective agreement for hotel employees in Chania apply.

Job description

As a Reservations Officer, you will play a key role in direct sales and the accurate management of the hotel group’s reservations throughout the year. You will be the first point of contact for many of our guests, handling inquiries and bookings via phone, email, and online platforms with professionalism and attention to detail. Your excellent knowledge of German and English will allow you to provide clear communication, build trust, and ensure each guest enjoys a smooth booking experience from first contact to arrival and beyond.

Typical responsibilities

  • Handle incoming reservation requests via phone, email, and online channels in a professional and friendly manner.
  • Accurately process and confirm bookings using the Protel PMS and other reservation tools.
  • Provide information on room types, availability, prices, and hotel services to potential guests.
  • Assist guests with changes, cancellations, and special requests, ensuring flexibility and accuracy.
  • Maintain clear communication with guests before, during, and after their stay to guarantee satisfaction.
  • Collaborate with the Sales and Front Office teams to maximize occupancy and revenue.
  • Monitor reservation trends and provide feedback to management for planning and forecasting.
  • Ensure that all guest data and booking details are handled with confidentiality and precision.

Necessary skills

  • Excellent communication skills and confidence in managing inquiries and sales.
  • Pleasant personality, adaptability, and strong customer focus.
  • Experience in sales, reservations, or hospitality roles.
  • Excellent command of German and English (spoken and written).
  • Basic computer literacy (knowledge of Protel or similar hotel software will be a plus).
  • Previous experience in a similar position will be appreciated but is not essential.
